Practice Start-up Services

Associated Healthcare Advisors, offers their professional services to physicians wishing to open a private practice. We are the advisors to take you from the big picture to the little details of opening your new office. Whether you are opening up your practice for the first time or breaking away from an existing practice the practice start-up service is valuable to save you time, money, and frustration.

It involves usually an intensive meeting with the doctor to assist in making as many decisions as possible regarding practice start-up and operations. We commence the meeting with determining your goals and ideas. If necessary we provide useful resources to achieve them. Once we have established your team of advisors, we work within the defined scope of services to mentor you through the start-up process.

Our practice start-up checklist is provided to provide the task distribution tool necessary to focus your energies and ensure your success. We assist in developing your business plan and refer you to appropriate funding sources, if required. We review with you specific targeted marketing strategies to assist in those first six months of start-up. A copy of our Medical Office Policies and Procedures Book is made available, where you will have the ability to customize the policies and procedures, forms and templates, needed to commence the start-up and to be in regulatory compliance from the start.

Determining the types of practice management systems, medical records systems and accounting processes are all discussed. As well as advising you on the necessary credentialing process that will assure your financial success.

The practice start-up consultation is usually allocated 4-8 hours of consulting time. You will leave with a plan of action and a road map to secure success. As you grow and develop your medical practice along the way, we look forward to continued transitional relationships as your practice success is ensured.

Practice Profitability Reviews

The comprehensive Practice Profitability Review covers both current and historical operations using on site analysis, observations, interviews, and review of records.

The Practice Profitability Review can be separated into: Operational Assessment and Financial Profitability Review.

The operational assessment is designed to assess how your general office and daily business systems impact the bottom line. The time and personnel investment of operations, known as indirect costs, will cost your company money.

Essential functions may include: Appointment Scheduling and Communications, Billing and Collection, Employee Skill Set Analysis, Medical Records Accuracy and trends, Patient Relations/Marketing, Quality Assurance, Facility Layout, Technology/Computer Review and Managed Care Contract Review.

The financial profitability review looks at those specific elements that have direct reimbursement or financial value associated with them. This review focuses on services and fees, cash flow and the controls of those items to verify accuracy of profits and expenses.

Documentation & Reimbursement

We work with health care professionals to improve their documentation and provide a safe environment to practice their profession. Our documentation/reimbursement services ensures that clinical documentation reflects appropriate severity and complexity through the application of regulatory guidelines and documentation techniques. This service can be provided by on site training or through off site tools we have developed.

Accreditation & Certification & Credentialing

One of our best references is having the state and accrediting personnel acknowledge the ease of our clients accreditation and certification when our team is facilitating the process. Whether it is your Ambulatory Surgical Center, outpatient practice, mental health and substance abuse center or your Physicians Office Laboratory seeking AAAHC, CLIA, COLA, Medicare or JCAHO, we are experienced in expediting the process. Once completed, we can provide the risk management services needed to maintain compliance to all the relevant standards.

We facilitate the processes to credential you and your facilities with the appropriate reimbursement and insurance plans. If starting up your practice we take you from the application for your license through contracting for reimbursement.

Regulatory Compliance & Audits

Our Healthcare Compliance Services Program assists you in reducing your professional liability. As the healthcare industry changes, the need is greater now than ever to have a proactive compliance program in place. We establish the team and provide the direction to move you through the regulatory maze.

We can provide compliance programs and resources to assess and prevent potential liability. In the current environment of recoupement and fraud investigations by the Office of Inspector General, internal compliance programs are essential to reduce your risk to accompany you home.

Our teams and resources assist in establishing where your practice’s current areas of risk are and how to remedy those areas with applicable standards, trainings and guidelines.

Training & CEU'S

Associated Healthcare Advisors can provide training and continuing education units for a variety of specialties. The training can be provided both on-site or through virtual education materials provided on-line.

Practice Valuation & Appraisal

To value a business or practice, the appraiser must understand your company's business:

  • What adds or subtracts from the value of your practice?
  • What are the risks associated with your business?
  • How do these risks impact your practice?

To value a practice, the appraiser must understand and properly use valuation theory and methodology while also having the knowledge of outside constraints (IRS, OIG, and State regulations) and the real market place activity.

Associated Healthcare Advisors' valuation consultants provide you both!

Associated Healthcare Advisors understands what impacts your practice through changes from the local community, the state level, and those imposed by payers, employers and the federal government.

  • Review of revenue and expenses
  • Overall review of practice strategies and profitability

Mergers & Acquisitions

Our approach considers the numbers, though we know that even when the numbers make sense, it may still not work! That is why Associated Healthcare Advisors considers many important issues regarding a proposed merger or group practice development before the merger, such as:

  • Pre-Merger Evaluation and Goal Setting
  • Due Diligence in the handling of financial, operational, and legal issues through the use of an experienced attorney

Associated Healthcare Advisors' Group Practice Development Services takes steps to assure no surprises by identifying the warning flags.

  • Associated Healthcare Advisors performs a SWOT analysis to eliminate missteps (SWOT = Strength, Weakness, Opportunities, Threat)
  • Since mergers have a significant external impact, Associated Healthcare Advisors, takes specific steps to identify the issues and concerns to patients and referral sources
  • Opportunities are evaluated to assure marketplace advantage: PROTECT AND CAPTURE

Associated Healthcare Advisors will also evaluate development by:

  • Investigating each practice to determine what makes up the numbers
  • Evaluating patterns, volume, patient processing styles, charges and practice philosophy
  • Assuring the quality of the assets in each practice and their use in the merged practice
  • Examining if each practice is financially viable now. What does the practice look like "behind the numbers?"
  • Assuring adequate funding and cash flow
  • Developing the philosophy for level of services to be provided (lab, x-ray, physician extenders)
  • Establishing effective and appropriate compensation plans
  • Assuring the continuance of provider/managed care contracts for after the merger
  • Strategic tax planning
  • Analyzing physician practice styles and coverage areas
  • Sampling medical records and establishing methods for documentation and filing

Associated Healthcare Advisors' Group Practice Development Services also examines personnel and related issues.

Staff type and number
Are the current employees right for the new merged practice?
Responsibility/Authority
Are the lines of responsibility and authority clearly defined, written and in an organizational chart?
Benefits
What must change? What impact will it have on current staff? What will happen to the physician's pension plan?

...and some of the other details, such as:

  • Answering service
  • Collection policy (write-offs, bad debt patients, minimal balance, collection at time of service, etc...)
  • Insurance and managed care company involvements
